Lynn is currently accepting applications for the Administrative Assistant position. The Administrative Assistant will provide support to the Director of University Events and the University Events office.

Essential Duties and Responsibilities

  • Assist with the internal office communication, including making and receiving phone calls, taking messages and managing e-mail requests
  • Greet and provide general support to visitors
  • Develop and maintain digital and manual filing of departmental documents and records
  • Create and maintain database of all event vendors and contact information
  • Prepare and submit vendor contracts as well as all necessary legal documentation to General Counsel
  • Submit and reconcile expense reports, credit card statements, and procurement requests
  • Assists to create metric reports pre and post events to include budget, expenditures, etc.
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Organize and schedule meetings and appointments for University Events
  • Assist in preparation of documents for meetings including printing/collating information in an organized manner
  • Manages event preparation including nametags, registration lists, and materials required on site at events
  • Assists in general event setup including decor installation and breakdown
  • Oversee general office supply needs and inventory, submit maintenance requests, submit Lynn University Service Desk tickets
  • Track and monitor ordered event supplies
  • Receive, sort, and distribute mail
  • Oversee schedule and direct student employees in daily tasks
  • Book travel arrangements
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Other duties as assigned

Minimum Qualifications

  • Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner
  • Proven admin or assistant experience
  • Must be able to work select nights and weekends
  • Must be able to stand, walk, stoop, kneel, crouch or crawl
  • Must be able to lift up to 25 pounds
  • Knowledge of office management systems and procedures
  • High school diploma or equivalent; college degree preferred
